Excel Level-Up: Day 10

Chart Template

Are you happy with the new look of your graph from yesterday? It could be troublesome to apply the same steps for each graph…

What if I tell you that you can save the nice chart as a template? And you can apply that template to all your future graphs?

Does that sound like a good idea?

Now, select your nicely formatted graph. Go to “Design” under the “Chart Tools” ribbon.  Click “Save as Template”. Save it as “The Incredible Bar Chart” (just kidding!).


Now you have the nicely formatted template in your pocket. 


Let’s say you have just plotted another bar chart. Select the graph. Click “Change Chart Type” under the same ribbon, click “Template”. Select “The Incredible Bar Chart”. OK.




 You graph has just been leveled-up within 2 seconds.

No more default graph

Does your chart always look like this?


While it is quick and easy to produce, it shows you as an Excel amateur too. Worse, this graph tells us that you are too lazy to bother about formatting it into a nicer/tidier chart.

As people judge you from your graphs (we all know they should not, but in reality, they do!), it is worth spending some time upgrading our graphs. 

In the minimum, please,
Step 1: Remove grideline
Step 2: Move your legend to the bottom, to maximize the graph area
Step 3: Label your axis
Step 4: Remove tick marks on the axis
Step 5: Change the texture of your graph and the colour of the fonts.

Plotting Graph

Are you being traumatized from your past graph plotting experience?

Today, we are going to show you an error-proof graph plotting trick. It is a very simple trick that rectifies mistakes that most of us do when plotting graph.

Do you always construct your table in this way when you plot your graph? 
If so, you are most likely to have to adjust for the axis label and will have to remove the “Year” column manually.



Here is our trick, in order for the graph to pop out nicely, REMEMBER, to let the left-upmost cell to be EMPTY. So, if you just clear that cell and re-plot your graph, it will fall out just nicely.



It is as simple as that.

Conditional Formatting

This is a very useful trick if you have to analyze huge bunch of numbers all the time. Imagine you have a very big table and you are trying to figure out the trend or trying to find the largest number. The quickest and most intuitional way of doing this is by using conditional formatting.
It is an in-built function in Excel that allows you capturing any trend/pattern in the data within seconds. 

Now, go to “Home” ribbon, and click on “Conditional Formatting”. Then, go to “Colour Scales” and choose your favourite colour scales to apply on the data.






As our intention is to introduce you “Conditional Formatting”, we will leave you to explore on other potential usage of this amazing function. As you can see, there are still plenty of options that can be chosen from. 

I assure you that each of them is very helpful and worth your time exploring.

Luckily, Excel understands your difficulty and so has built-in an awesome tool called “Evaluate Formula”.

Go to “Formula” tab in the ribbon, “Evaluate Formula” is in the Formula Auditing section.


This function helps you breaking down the long formula into smaller digestible bits. Each time, you click the “Evaluate” button, it will solve the next small part of the formula.


No freak out anymore when you see complicated formula in the future.

Number Formats

Today, we are going to share with you some easy to remember but not everyone knows short cut keys. 

The following short cuts are very helpful in formatting your worksheet.

[Control] + [Shift] + [`] to format cell as “General”
[Control] + [Shift] + [1] to format cell as “Number”
[Control] + [Shift] + [2] to format cell as “Time”
[Control] + [Shift] + [3] to format cell as “Date”
[Control] + [Shift] + [4] to format cell as “Currency”
[Control] + [Shift] + [5] to format cell as “Percentage”
[Control] + [Shift] + [6] to format cell as “Scientific”


This should be fairly easy to memorize if you refer to the symbol represented by each number.

Never change the number format of the cells by using the drop down menu again!

Rows and Columns

In a lot of time, we have to play around with rows/columns, for example, insert new columns, hide rows or delete rows.

Today, you will learn how to do all of the above without touching your mouse.

Level 1: Selection
To select a row, press [Shift] + [Spacebar]

To select a column, press [Control] + [Spacebar]



Level 2: Insert
To insert a new row, select a row (refer to Selection), then press [Control] + [Shift] + [+]. It will add a new row above the selected row.
To insert a new column, select a column (refer to Selection), then press [Control] + [Shift] + [+]. It will add a new column to the left of the selected column.


Level 3:
To delete a row or column, select the row/column (refer to Selection), then press [Right Click Button] then [D].


Level 4:
To hide a row or column, select the row/column (refer to Selection), then press [Right Click Button] then [H].

Advance Copy & Paste

I’m sure you are pretty good in copy and paste, i.e. [Control] + [C] and [Control] + [V].

Today, we are going to show you a more sophisticated technique of pasting.

You might have known the “Paste Special” function in the Excel but do you know that it can be done without using mouse?

The trick is very simple, pressing [Alt], then [E], then [S] will prompt the “Paste Special” dialogue out.


From here, you can choose the option that it has by simply press the corresponding letter underlined in each function.

For example, to paste special as value, press [Alt] [E] [S] [V] (one at a time).

To paste special as formatting only, press [Alt] [E] [S] [T]

To paste special as formula only, press [Alt] [E] [S] [F]

Same apply to all functions.

Excel Level-Up: Day 2

Dragging Formula

Okay, now you can navigate within a worksheet using just keyboard. So, what’s next?

Do you have the problem of having to drag some cells in order to duplicate formula?

Well, that is too slow and troublesome.

To copy formula downwards: [Control] + [D]


Let’s say you wanted to sum Column A, B,C, D in Column E. Sum the first cell. Select Column E. Press [Control] + [D]



To copy formula to the right: [Control] + [R]


On the other case, let’s say you want to apply the summation to the right. Select the all the relevant cells. Make sure the left-most cell contains the formula that you wanted to duplicate. 
Press [Control] + [R].



 Done.

These two formulas will help you duplicate formula without hassle to the right and down.

Excel Level-Up: Day 1

Navigation by Keyboard

To work fast in Excel, you must not rely too much on your mouse. Learn to navigate in Excel using keyboard will save your time tremendously. It could be difficult in the beginning, but it will certainly be paid off in long run. The following are some useful shortcuts for navigation.

Level 0: To move to the next cell, I’m sure you know we will be using the [Up], [Down], [Left] and [Right] keys.

Level 1: Slightly harder, use [Control] + [Up] / [Down] / [Left] / [Right] to move to the edge of the data range. This is particularly useful if you are constantly working with big lists or tables.


Imagine you have a table with 25 columns and 10,000 rows.

How do you move from the top of the list to the bottom of the list?

Scroll down?

Nope.

Use [Control] +[Down]

How do you move from the first column to the last column?

Press [Right] continuously.

Nope.

Use [Control] + [Right]


Level 2: If you would like to select cells, use [Shift] + [Up] / [Down] / [Left] / [Right]. No more dragging hassle in the future!


Level 3: Even slightly harder, now if you combine [Control] and [Shift], you can select cells faster. For example,

If you want to select the whole row of a table: [Control] + [Shift] + [Right]

If you want to select a column of a table: [Control] + [Shift] + [Down]


Try applying these tricks in your work today! You might not see the results immediately as it require some practice, but I assure you that your colleague will be impressed.

What Can I Learn/Know in 10 minutes That Will Be Useful For The Rest of My Life?

Ever wondering what you can do meaningfully when you have only 10 minutes of free time? Yes, you will be amazed when you realize you can actually learn/know things by using 10 minutes of your free time and it will be useful for the rest of your life!


  1. A good joke
    Sometimes when you talk to a new friend or in a group, it is normal to have an awkward moment to happen. A good joke will be just in time to break the silent moment.

  2. Setting hair 
    Sometimes you just don't have time to make up yourself. Research shows that a make up of yourself can in fact build your confidence. Hence, why not use the 10 minutes you have to search online to learn the way to set your hair fast and nice.

  3. A magic show
    This is similar to learning a good joke but learning a magic and show to your friends can leave a great impression your friends on you. After all, magic show is more on visual and will be more persuasive.

  4. Wrapping present
    This is a soft skills that might be your less priority but once you master it, you can impress your friends easily. And yes, this skill is going to accompany with you for life just as you know how to ride a bicycle even you don't practice nowadays.

  5. Speed cleaning
    Look at the youtube and you can easily learn how to do speed cleaning in your room. I am sure you want your room to be clean and neat all the time, don't you?

  6. Photo skills
    This might need a few accumulation of your 10 minutes. You can learn online how to take a nicer photos to get more likes when you post your photos on Instagram. Learn one skill or two for each of your 10 minutes and apply it.
Obviously, 10 minutes seem little for you but if you utilize it properly by doing something meaningful as above, it actually brings you a positive outcomes without any doubts. Let's start thinking and planning what you can do so that when you are free for 10 minutes, you know what can be done/improved. Cheers.

Renew Your Identity Card (IC) Via Phone Call

As a Malaysian, our Identity Card (i.e. IC) needs to be changed and renewed for at least 3 times at different level of ages. Usually what we will do is to go to the National Registration Department of Malaysia (NRD), wait for a long queue and then get the IC renewal done. Since the working hours of JPN is also our normal working and it is closed during weekends, you might end up asking for a day off to do this. However, worries not now, do you know now you can renew your IC just via a phone call??


Yes, it is just that simple. You just have to call the following number. How easy, isn't it?

However, bear in mind you would need to fulfill the following requirement in order to be able to use this service:

  1. Only valid for Malaysians
  2. RM10 fees will be charged upon collecting the new IC
  3. IC renewal and collecting IC must be only done by the owner alone
  4. 2 places for IC collection: i.e JPN Putrajaya and respective State Offices
  5. Only applicable for those IC with faulty chips or IC is damaged
  6. No changing address, religion, names and photos are allowed on the new IC
  7. Penalties will be applied if you fail to present the current/old IC in return of new IC.                                                                                                                                                             

[Tip 1]: The working hours for KL NRD is as follows:
                                               

Monday-Friday 8am to 5pm

Break Time: Monday - Thursday 1pm-2pm
                     Friday 12.15pm - 2.45pm

Life Lessons That are Worth to Share With

Ever wonder how people can get rich and how can they get a successful life? From what were written on the books and articles online, here are the life lessons that we think it is worth to share with our readers.




  1. You are the average of the five people you spend the most time with
    You would not agree with this first, but let's think about yourself. Is your five closest friends having the similar lifestyle as you? This is exactly the same as those millionaires, i.e. millionaires surround themselves with other millionaires. Hence, if you want to be successful and to have your life more meaningful, you should mingle with more friends having these characteristics.


  2. Money itself will not make you happy
    Rich people have money but they can be unhappy as they might not have other things that make them happy, eg. friends, family, care, love. These cannot be traded using money. Likewise, we see poor people from Third World countries can be happier than us even they don't have money. The point is it is possible to be happy right now, whether you have $10 or $10 million. Be grateful with what you have, for being alive and for having today a great day, you will be more present and have better perspective.

  3. Willing to learn
    Every successful person we have met is a lifelong learner. They understand the importance of constantly improving and growing. How we learn? We learn through books, online websites, seminars, friends, colleagues, parents, seniors or even juniors. To be lifelong, you should be determined to always learn new skills, to keep developing as a person, to accept people's opinions and suggestions, i.e. to never become stagnant. Learning can never stop.

  4. Two is better than one
    We meant a few aspects here, but generally two is better than one. Rich people know how to put their money and resources to work for them, i.e. they have more than one income sources. This is harsh but sad to say working full time alone would not make your life rich. Instead, you should invest your money so that you earn extra income from your basic salary. Certainly, you should focus on one income stream first and only diversify once they have hit a level of stability.

    Two is better than one also means you should have a friend or partner with you working together with you. Both of you share the high points and down points together. Nothing cannot be solved if there were two of you. But of course, you need to get a trustworthy friend or partner in this case.

  5. Read more
    If you get to talk to successful people, you will notice none of them does not read. And we are not talking about fictional books. We meant books with real, practical tips for your personal and professional development. Books are like your friends, they teach you something valuable to be applied in your real life. Read more.

KTMB Online E-Ticket Purchase System

With the existence of internet nowadays, there is almost nothing impossible. Groceries, food delivery, shopping, cinema tickets, submitting application form and so forth can all be done using internet which definitely has made your life simpler and less hassles. 

Kereta Tanah Melayu Berhad (KTMB) which is the main rail operator in Peninsular Malaysia is now providing the service where travelers can purchase their train ticket via online!

How to purchase KTM train ticket online?


  1. Log in to https://intranet.ktmb.com.my/e-ticket/login.aspx


  2. For first time user, you would need to register an account first. If you are current users, you can simply log in to the system directly.
  3. Once you are logged in, click on the "Ticket Reservation" and start filling in the ticket details eg. origin, destination, journey date etc.Click "Continue".


  4. Once you come to the payment page, you have the option to use credit card to make the payment.
  5. An email that shows your train and payment details will be sent to your mailbox within 30 minutes.
[Tip 1]: Train ticket can be purchased at 4 hours in advance before departure.

[Tip 2]: One user account only allows a maximum of 6 tickets purchase at once.

[Tip 3]: The payment currency depends on the origin of the place, i.e. if you are travelling from Malaysia to Singapore, payment is in RM$; if you are travelling from Singapore to Malaysia, payment is in SGD$.

[Tip 4]: The name and IC of the passengers must be correctly filled in.

[Tip 5]: Minimum ticket reservation fees is RM or SGD 20.

Tips You Appreciate When Working From Home

We noticed some of our readers are freelancers which means they are working from home. Don't misunderstand us. Working from home does not say you can only work literally from home. You can work in a coffee shop, restaurant or even in a toilet, i.e. just wherever you like. Being a freelancer that works from home means you have flexible time. Other people might wonder how can one works from home with high productivity and effectiveness? Let us share you the some tips then.


Tips You Appreciate When Working From Home

  1. Establish a routine
    Just like working people where you will have to work from 9am to 5pm, you should establish a routine for your day at home so that you can follow and do not tend to let go of your precious time. Jogging, shower, breakfast, reading news, dress comfortably, work. Having a consistent routine brings your mindset to the exact time where you need to focus on your work.


  2. A special and unique workspace for you
    As you are working from home, you have the flexibility to choose where to do your work. It can be at your study room or on your coach in living room or any other work place that you deem you can focus when you are there. Always remember, a special and unique workspace is not equivalent to a comfy place that can consistently make you lazy and less willing to work, e.g. on your bed.


  3. Get a coffee shop loyalty card
    If you are the kind of people that can't really focus when you are alone, a coffee shop would be one of your best option when you want to choose a place to focus on your work. Hence, we would strongly recommend you to have a coffee shop loyalty card with you so that you can get quite some discount in the long term. In addition, you might consider to go to that coffee shop as well in the event that you want to meet your clients.


  4. Minimise your social media distraction
    Yes, we know this might be hard. However, do you ever know social media has been using up quite some hours of our 24-hour-day? You will be shocked with the amount of work you have done if you do not use social media such as Facebook for a day. Alternatively, limit yourself for a period of time using social media, but this really needs DETERMINATION.

  5. Take at least a walk once a week
    Yes, we are normal people which means we need rest. Have yourself relaxed after the heavy work by walking around for about 15 minutes - take in fresh air and it does clear your mind after working in front of a computer for hours.

  1. Kind reminder
    You might have experienced the times where you have seen the messages then forgetting to reply them? Yes, we understand sometimes replying to that messages are just not the top priority during that time. To avoid this to happen again or miscommunication, Whatsapp has a feature where you can mark the chat with blue dot for you to attend to it later. Just swipe that chat to the right and the option to Mark as unread will be shown up. Simply tap on it and the blue dot will appear to be there to remind you to read that and reply later.




  2. Customise your notification
    Again, we know you have quite a few group chats but some of the group chats might be just annoying and you really do not wish to receive the notification or vibration from that particular group chat especially when you are having meeting or work in the office. What you can do here is to tap on the group chat, then on the name of the chat, click the Custom Notifications. From there you can choose from a variety of sound alerts for both calling and texting purposes. And this is also the place where you can even put no sound for your notifications. Just simple and cool.

    [Tip 1]: This applies to both individual and group chats as well. Some people may utilise this function in another way. For instance, if you wish to put certain chats, say your best friends and family, as your top priority in replying the messages, you can simply customise the notification with an unique sound alerts for these particular chats so that you get to identify them and reply them the soonest possible.


  3. Prevent others to read your messages
    This is another trick considerably useful for those who do not wish to have the messages being read by others. All you need to do is to go to Settings, then Notifications, and disable Show Preview. From now onwards, your notification will just reveal the sender's name but without any contents.




  4. More time for yourself to reply messages
    Sometimes we might need to take a little more time to formulate our response rather than just replying the sender right after reading the messages. We also do not wish to have the sender realized we actually looked over the messages again and again. However, the double blue ticks has taken our privacy and privilege away by letting the sender knows we have read but pending to reply. To prevent this to happen, you can go to Settings, then Account, and then Privacy to have this changed. Switch off the Read Receipts. With this function, your "last seen" will not be seen by others anymore neither the blue ticks.

    [Tip 2]: Note that when you switch off the Read Receipts, you won't be able to see if people have read your messages either. However, read receipts will always be sent for group chats.


  5. Locate Group Chat
    Pretty sure most of you did not know that you can find old group chats by checking with individuals. This is useful when you wish to revisit old group chat but you can't remember where to find them. Chances are you will remember who was in the chat rather than what the chat name was. All you need to do is to tap on any individual chats, and tap their name for more information. From there you can see the groups you both have in common, which then makes it easier for you to find the group chat that you have been looking for.

Whatsapp has been famous for secretly coming out with new hidden useful features whenever they have an update. Have a look at the features below, to which we believe you learn some new features from us about Whatsapp. Stay with us now.

  1. Bold,Italics and understrike  your message
    Whatsapp is making your communication in a better way to the recipients. Instead of being rude like last time where you can only do like DO YOU UNDERSTAND! to emphasize your points, you can now bold, understrike or make your words in italics form. And guess what, it will not use up much time for doing that.


    [Tip 1]: To make your message bold, simply add *before and after the text. For instance, typing *how are you doing?* will give you how are you doing?

    [Tip 2]: To make your message in italics, simply a _before and after the text. For instance, typing _how are you doing?_ will give you how are you doing?

    [Tip 3]: To understrike your message, simply add ~before and after the text. For instance, typing ~how are you doing?~ will give you how are you doing?

    [Tip 4]: To make it even astonishing, this formatting is not necessary to be used independently. In other words, they can be used together. You can do a few combination by putting those symbols before and after the text to have a few formatting at one time. For instance, typing ~*_how are you doing?~*_ will give you how are you doing? How cool right?

  2. Send PDF document through Whatsapp
    One of the big updates about Whatsapp is that now it allows users to send PDF documents to recipients using Whatsapp rather than just photos/videos previously. For Android users, tap on the attachment icon on the top right corner of the interface. For iOS users, click the arrow up icon on the bottom left where you should see a new "Share Document" option.

    [Tip 4]: So far it only allows the document to be in PDF format. Besides, the recipients must also have updated his/her Whatsapp to the latest version in order for you to send the document over.


  3. Care about your internet data
    As we all know, Whatsapp call has been introduced for some times. Some of us might be wondering if this will consume lots of internet data, and thus trying not to Whatsapp call for long time. Now, you can go to Recents, tap on "i" next to any name to bring up the related information on that caller including how long you called with the person as well as the amount of data it used up exactly. Yes, try it now and you will be amazed. But if you are using Wifi, then you can just call hours without any concern.

  4. Star your message as favourite
    We bet you have so many individual and group chats in your Whatsapp record. Occasionally, we need to find back the record for a certain important numbers, notes or link but it just takes up so much time to do that. Worries not, now if you think that a certain message is important to you, all you need to do is to long hold the message so that a star sign will pop out. Tap the star and it will automatically save that important message as favourite. Imagine how easy your life will be with this starred messages can be reached so easily for your future reference.

    [Tip 5]: To view your starred messages, click the Setting at your bottom right and you should see the Starred Messages at the top row.




  5. Use Whatsapp on laptop
    Just like the Line app, finally Whatsapp comes out with the feature where you can also use Whatsapp on your laptop or other devices rather than just over the phones. All you need to do is go to Settings where you can see WhatsApp Web. Subsequently, go here on your computer and scan the QR code that appears in your phone. Yes, you can now start chatting with anyone without even the need to download the whatsapp software or anything on your computer in advance. How convenient is this!
